9.3 Communication with Families

Amberley OSHC recognises and acknowledges the importance of effective communication with families and strives to encourage their participation to enhance Amberley OSHC provided.  Families are welcome to attend Amberley OSHC or talk to educators during operation.  We encourage families to voice any concerns in a way that will assist us to provide a better service.

Procedures

For new families at Amberley OSHC, the first point of contact will be the Nominated/Certified Supervisor, who will meet with the parents/guardians and the child to discuss Amberley OSHC and the child’s needs and to answer any questions.

On enrolment, a Family Handbook will be provided as part of Amberley OSHC enrolment package.  The information contained in this handbook is based on Amberley OSHC policies and procedures and should be used as a reference.

Parents/guardians will have access to meet with the Nominated Certified Supervisor by appointment, to discuss any issues or concerns with respect to their child and/or Amberley OSHC.  Information is available to families about their child which includes documentation of their child’s learning, development and participation in the program.

Information provided by families relating to their child’s participation in the program will be documented and stored as appropriate.

Before entering the premises all persons will need to be identified by the Nominated Certified Supervisor, or other educators.  An approved person is a person who has been given permission by the parent/guardian, Nominated Certified Supervisor/educators or Management Committee.

On departure from the premises, educators will encourage parents/visitors to give feedback on their visit either in discussion or in the completion of an evaluation form.

The Nominated Certified Supervisor will treat all enquiries and concerns, and the persons making them, seriously and with respect and will endeavour wherever possible to answer questions and provide required information.

Any deficiencies in Amberley OSHC which are identified through this process, and can be rectified, will be taken into account by modifying or enhancing these Policies and Procedures, or the program, as appropriate.

The Nominated Certified Supervisor may refer families to information relating to appropriate community support and resource agencies that are accessible and available at the parent sign in/notice board area.

Information for parents will also be communicated through:

  • regular newsletters; and/or
  • parent sign in and notice board area; and/or
  • regular meetings between Nominated Certified Supervisor/educators and parents/guardians; and/or
  • Blasts and notifications sent through Amberley OSHC’s emailing system
  • Notices written by the Nominated Certified Supervisor, and approved by the Management Committee, being given to parents/guardians when there are matters of changed policy and it is important for the changes to be communicated before the next newsletter or monthly meeting; and/or
  • The communication television which will display important messages in regards to Amberley OSHC.
