10.25 Cash Handling

We shall manage all cash effectively to ensure the safety of staff and the accuracy of records.

Relevant Laws and other Provisions

The laws and other provisions affecting this policy include:

  • Queensland Work Health and Safety Regulation 2011
  • Victims of Crime Association of Queensland
  • Cash in Transit Code of practice 2011

Procedures

The term cash refers to an amount of notes, coins and cheques collected by Amberley OSHC.

Banking will occur on a daily basis where amounts held exceed the prescribed amount, or every Friday.

Banking should take place at different times, using different routes, if possible so that no set routine is identifiable.

Two staff members should count and countersign total of funds received prior to bank deposit being completed.

Nominated Supervisor, or delegated staff member, should check bank completed deposit slip against daily takings.

When transporting cash to the bank:

  • Staff shall carry a charged mobile phone at all times;
  • The cash shall be carried in an unremarkable bag;
  • Different routes shall be taken at random;
  • The timing of the trip shall be varied;
  • Where possible, different staff members shall from time to time undertake the trip;
  • Car doors shall be locked for the length of the trip;
  • Where large amounts are to be transported, two staff members shall undertake the trip;
  • Staff members shall be alert to suspicious persons loitering in the area;
  • In the event of the staff member being followed in their vehicle, they shall drive directly to Yamanto Police Station and upon arrival call 000;
  • In the event of a person approaching the staff member and demanding the money, the staff member shall not resist in any way whatsoever and shall immediately comply with the request.
  • In the event of a robbery, the staff member shall at all times attempt to ensure their own safety;
  • If a robbery does occur, the staff member shall immediately call Police on 000 as soon as it is safe to do so.

If a robbery has occurred, the staff member shall be given full support by Amberley OSHC, including access to professional counselling and support services.
